FAQ
Common questions about SizaBill Invoicing
What is the best invoicing app for South African psychologists?
SizaBill is built specifically for South African psychology and health practices. Unlike general invoicing tools, it includes ICD-10 diagnosis codes, tariff and NAPPI codes, medical aid fields, and main member versus dependent billing, so you can invoice the parent while the invoice still names the child who was seen. VAT is handled the way SARS expects and POPIA consent records are kept automatically. Plans start at R99 per month.
Is SizaBill SARS compliant?
Yes. SizaBill produces tax invoices that carry the elements SARS requires: your business name and VAT number, the client details, a sequential invoice number, the date, a description of what was supplied, and the subtotal, VAT and total shown separately. VAT is calculated at invoice level at the rate you set, and reports can be run against the South African tax year, which starts on 1 March.
How much does SizaBill cost?
SizaBill has three plans, all priced in South African Rand. Starter is R99 per month for up to 10 clients, Up & Running is R249 per month for up to 25 clients, and Small Business is R449 per month with unlimited clients. Paying yearly saves about 17%, which works out to roughly two months free. Every plan includes unlimited invoices, quotes and credit notes. The free 14-day trial is on Starter ONLY and needs no card. Up and Running and Small Business have no trial, so you subscribe to those from the start.
Does SizaBill work for medical aid billing?
Yes, for practice-side billing. You can store a client medical aid scheme, plan and membership number, attach ICD-10 diagnosis codes and tariff or NAPPI codes to invoice lines, and bill a main member for a dependent. The invoice produced carries the codes and details a scheme expects. SizaBill does not submit claims to schemes directly.
Can I use SizaBill on my phone?
Yes. SizaBill is built mobile-first and installs on your phone as an app. It also works without a signal: you can create an invoice offline and it syncs automatically the moment you reconnect.
Can my accountant get access to SizaBill?
Yes. You can invite one accountant, who sets their own password and gets a read-only login limited to your invoices, quotes, expenses and reports. They cannot change or delete anything, and medical codes and patient identifiers are hidden from their view for POPIA reasons. You can revoke the access at any time.
How does SizaBill compare to Xero, Zoho or QuickBooks?
Those are general accounting packages built for a global market. SizaBill is narrower and South African: it does invoicing, quoting, expenses and practice admin, with SARS VAT rules, ICD-10 and tariff codes, medical aid fields and POPIA consent built in rather than added on. It is also cheaper at the small end and supported by a South African team. If you need full double-entry bookkeeping and a general ledger, a dedicated accounting package is still the right tool, and SizaBill exports CSV files for your accountant to work from.
Can I move my clients over from another system?
Yes. Export your contacts from Xero, Zoho, Sage or a spreadsheet as a CSV and upload it. SizaBill matches the columns for you, you confirm the mapping, and duplicates are skipped. A name and an email address are required for each client.
Does SizaBill handle recurring invoices?
Yes. Any invoice can be set to repeat monthly. SizaBill creates and emails a fresh copy to your client each month with a new invoice number, new dates and the correct payment reference. You can pause or stop it at any time from the client page.
What happens to my data if I cancel?
You can export your clients, invoices and quotes as CSV and PDF before you cancel. After cancellation your data is kept for 30 days so you can reactivate without losing anything, and it is permanently deleted after that.
Is my financial and client data safe with SizaBill?
Data is encrypted in transit with TLS and stored on managed cloud infrastructure with automated backups. SizaBill never stores card numbers, because subscription payments run through PayFast. Accounts can be protected with authenticator-app two-factor authentication, financial records are soft-deleted rather than destroyed, and consent is recorded and auditable in line with POPIA.
Does SizaBill scan receipts?
Yes, the feature is called Quick Capture. Photograph a receipt and SizaBill reads the merchant, date, total and VAT and files it as an expense with the image attached. You can add a second photo as proof of payment. Starter includes 10 scans a month, Up & Running includes 25, and Small Business is unlimited.
What is SizaBill?
SizaBill is a mobile-first invoicing and business management app for South African small businesses and health practices. You create professional invoices, quotes and credit notes, keep track of clients and expenses, and see what you are owed, all from your phone.
Who is SizaBill designed for?
Solo and small practices in South Africa. That is mostly psychologists, therapists, physiotherapists, dietitians, GPs and dentists, but it also covers coaches, consultants, tradespeople and any small business that invoices clients directly.
What currency does SizaBill use?
South African Rand only. Invoices, quotes, statements and reports are all denominated in Rands and formatted the South African way.
Can I customise my invoice numbering?
Yes. Set your own invoice, quote and credit note prefixes, such as INV or your business initials, and choose the number to start from. Numbering then runs sequentially, which is what an auditor or SARS expects to see.
Does SizaBill work if I have no signal?
Yes. SizaBill installs on your phone as an app and keeps working offline. You can create an invoice between sessions with no signal, and it syncs the moment you reconnect. If something you changed offline clashes with a change made elsewhere, SizaBill shows you the clash rather than silently overwriting your work.
Can I send a client a statement?
Yes, on the Small Business plan. Statements show a running ledger of everything invoiced and paid over a period, with an ageing analysis from current through 120 days, plus your banking details for payment.
What happens when a client does not pay?
You can switch on automatic overdue reminders, and SizaBill emails the client one reminder, seven days past the due date. That is the only automatic reminder, the tone stays polite, and you can record a partial payment if a medical aid short-pays. Invoices you back-date when capturing past work are never chased, and you can resend any invoice yourself at any time.
How do I get help if I have a problem?
Email the SizaBill team at hello@sizabill.co.za. Support is a South African team on South African hours. For privacy or POPIA requests, contact privacy@sizabill.co.za.
